Effective 6/13/24, Brown University Health REDCap administrators will no longer create new user accounts or unsuspend inactive accounts.
Phase 2: Over the next two months, all existing, active users will need to transition to using their BUH credentials to log in.
- If you do not have Brown University Health credentials, you will need them. Your Brown University Health collaborator will need to facilitate having a BUH Non-Employee account created (or re-activated if you have a former account) for you. Only BUH managers or designees have access to the Non-Employee Management System (NEMS). Neither Brown University Health IS nor REDCap Administrators will submit requests to have Non-Employee accounts created.
- Once you have Brown University Health credentials, you must submit a BUH IS applications System Access request for REDCap. You CANNOT submit this request until you have active BUH credentials.
- Once you have BUH credentials, you can submit this via the IS Self-Service Portal from the BUH intranet. From the portal, Select "Access Request: Applications(s). Complete User and Request details. In the "Filter By Vendor or Name" list search for and select Vanderbilt-REDCap. Select User for Access Type and review/submit your ticket. You may also call the BUH HELPDesk at 401-444-6381 and request access to the Vanderbilt-REDCap application.
- Once the new "Log in using Azure AD" button is available on the REDCap homepage, users must log in at least once before others can add them as users on projects. We will communicate when the new log in is available.
- Project Owners, or a user with Project Design & Setup and User Rights privileges will need to complete this survey https://redcap.link/REDCapProjects to identify which projects they need access to. *Please note, this work cannot be performed until the new log in is available and the user has logged in at least once. REDCap Admins will grant only ONE user access to each project, and it is the responsibility of that user to add their users new accounts and remove their old accounts from the projects.

Q1. "I am credentialed at BUH but employed by Brown so I am somewhat less familiar with your system. Can you "Submit a BUH IS applications System Access request for REDCap?" Is it within the REDCap system? Elsewhere?" OR "I'm not sure how to submit a system access request. Can you please provide me the link?"

Q2. "If I already have a redcap account, are you saying I need to apply for the account again? What happens to all the data and previous surveys already in my account?"
Q2 Answer: ALL users will need to complete the steps above. Step 1 will only need to be completed for users who do not have BUH credentials. Your projects will need to be re-assigned to your new REDCap profile. Please see Step 5 above. No data previously collected will be lost by this transition.
Q3. "I am working on my Self Service ticket per your email today "Subject: BUH REDCap Log in changing." Who should I list as the approver?"
Q3 Answer: The approver should be the person who is responsible for approving and managing your access to other BUH systems.
Q4. "Will my current REDCap username be the same as my new REDCap username?"
Q4. No. Your new REDCap username and password will be the same username and password that you use to log into other BUH systems.
